Privacy Policy and Notice at Collection

This Policy explains how Yuma Supreme Auto Sales (“Yuma Supreme,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects personal information through the SafeSource website, private SafeSource request pages, and related dealership communications. It also serves as a notice at collection for information submitted through the SafeSource Request form.
1. Scope
This Policy applies to the Yuma Supreme public website, SafeSource Request form, website inventory, private SafeSource customer links, customer questions, optional reference-photo uploads, and related communications. It does not replace any separate privacy notice, financing disclosure, lender notice, or Gramm-Leach-Bliley Act (“GLBA”) privacy notice that may be provided when a person applies for financing, leasing, or another financial product.

3. Sources of information
We collect information directly from customers, from their browser or device when they use the website, from advertising or referral links, and from dealership employees who update lead, inventory, or SafeSource request records. We may also receive information from service providers used to host the website, deliver email, support communications, or process a customer-requested financing or vehicle transaction.
4. How we use personal information
- Respond to SafeSource Requests and customer questions.
- Review current inventory and possible sourceable vehicle options.
- Create, update, and display matches through a private SafeSource link.
- Contact customers by the method they request.
- Evaluate trade-in and financing next steps when requested.
- Operate, secure, troubleshoot, and improve the website and admin system.
- Prevent spam, fraud, abuse, or unauthorized access.
- Measure advertising, referrals, form completion, and website performance.
- Comply with applicable law, lawful requests, recordkeeping duties, and dispute-resolution needs.
5. Communications consent
When a customer submits a SafeSource Request and checks the contact-permission box, the customer asks Yuma Supreme to respond at the phone number or email address provided about that request. Follow-up may include calls, texts, or emails related to the requested vehicle, inventory, appointments, trade-in, financing next steps, or customer questions. Consent to receive communications is not a condition of purchasing a vehicle. Message and data rates may apply. Customers may reply STOP to opt out of text messages or contact us using the information below.
This request-form consent is intended for Yuma Supreme’s own response and follow-up. It is not permission for unrelated third-party marketers to contact the customer. If automated or prerecorded telemarketing is used in the future, we will provide any separate disclosure and consent required by law.
6. Optional reference photos
Reference photos are optional. They are used to understand the kind of vehicle a customer wants. Customers should upload only images they have permission to share. Do not upload driver’s licenses, financial documents, faces of children, license plates that should remain private, or other sensitive personal information. Uploaded photos may be visible to authorized dealership personnel reviewing the request.
7. Credit applications and financial information
The SafeSource Request form is not a credit application. Do not submit Social Security numbers, bank account information, full driver’s-license numbers, income documents, or similar financial information through the SafeSource form, notes field, reference-photo upload, or customer-question form.
A downloadable credit application is a separate process. Email may not be encrypted. Before sending a completed credit application containing sensitive information by email, customers should contact Yuma Supreme to ask whether a more secure delivery method is available. Any financing application may be subject to separate GLBA privacy notices, lender notices, credit authorizations, and legally required disclosures.
8. How we disclose information
We may disclose personal information only as reasonably necessary to:
- Authorized dealership owners, employees, and contractors who need it to handle the request.
- Website hosting, storage, email, security, analytics, communications, and technical service providers.
- Lenders, financing sources, credit-reporting or verification providers, warranty or service-contract providers, and transaction partners when requested or necessary to process a vehicle transaction.
- Government agencies, courts, law enforcement, insurers, auditors, or advisors when required by law or reasonably necessary to protect rights, safety, property, or legal interests.
- A successor or purchaser in connection with a merger, sale, financing, reorganization, or transfer of dealership assets, subject to applicable law.
We do not currently sell personal information for money. We do not currently share personal information for cross-context behavioral advertising. If those practices change, this Policy and any legally required opt-out methods will be updated before the change takes effect.
9. Cookies, browser storage, and analytics
The website may use browser local storage, session data, cookies, or similar technologies to preserve limited form state, remember accessibility preferences, record landing-page or campaign information, reduce spam, and support analytics or conversion measurement. Browser settings may allow customers to limit or delete some of this data, but doing so may affect certain features.
If advertising pixels, analytics platforms, call-tracking tools, or other third-party tracking technologies are activated, this Policy and any required consent or opt-out controls must be updated to identify those practices.
10. Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including customer follow-up, transaction preparation, dealership recordkeeping, fraud prevention, security, dispute resolution, legal compliance, and enforcement of agreements. Retention length varies by record type, whether a transaction occurs, legal or lender requirements, and whether information is needed to resolve an active request. Uploaded reference photos and test data may be removed sooner when no longer needed. When information is no longer reasonably necessary, we may delete, anonymize, or securely dispose of it.
11. Security
We use administrative, technical, and physical safeguards designed for the nature of the information we maintain. Current controls include restricted administrative access, production-origin restrictions, controlled upload types, randomized filenames, file-content checks for reference images, rate limits, and separation of public and administrative functions. No website, email, or storage system can be guaranteed completely secure.
Yuma Supreme maintains responsibilities under applicable federal and state information-security and breach-notification laws. Financing-related customer information may also be subject to the FTC Safeguards Rule and separate dealership security procedures.
12. Privacy choices and requests
Customers may contact us to request that we:
- Confirm whether we maintain information associated with their SafeSource Request.
- Correct inaccurate contact or request information.
- Delete information that is no longer needed, subject to legal, transaction, security, fraud-prevention, and recordkeeping exceptions.
- Stop nonessential marketing communications.
- Provide information about the categories of data we collect and how we use or disclose it.
We may need to verify the requester’s identity before completing a privacy request. We will not discriminate against a customer for making a good-faith privacy request.
California residents
California law may provide additional rights to know, access, correct, delete, and opt out of certain sales or sharing of personal information when the law applies to the business and the information. Yuma Supreme does not currently sell personal information or share it for cross-context behavioral advertising. California residents may submit a request using the contact information below. We will evaluate and respond to requests under the law that applies to the request and our business.
13. Children’s privacy
The website is intended for people seeking vehicle information and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the website. A parent or guardian who believes a child submitted information should contact us so we can review and, where appropriate, remove it.
14. Third-party websites and services
The website may link to third-party websites, lenders, downloadable documents, maps, email services, or other services. Their privacy and security practices are governed by their own notices, not this Policy. Customers should review those notices before submitting information.
15. Changes to this Policy
We may update this Policy when the website, business practices, vendors, or legal requirements change. The updated version will be posted on this page with a revised “Last updated” date. Material changes may also be communicated through an additional website notice when appropriate.

For privacy requests, include the name, phone number or email used for the request, the SafeSource Request ID if available, and a clear description of the request. Do not email Social Security numbers, copies of identification, or full financial documents unless we provide a secure method and specifically request them.
